This is a manual for using Store Desk.

LOGGING IN :


  • Click on the SISH icon and select the store.


  • Now, select Store on the first box. (Note: two options will be shown I.e, store and purchase)


  • Then type your ID in second box and password in the third box.


  • Press enter twice or you can directly click OK with the mouse.




















PURCHASE ENTRY :

  • Once you log into the software, go to the Inventory menu.

  • Select Purchase entry from the menu.











  • A new box will open where you see the Date first. If the date is correct press “enter” twice or you can change the date as required.





  • Now you are taken to the mode of payment. – Select Cash payment or Credit Payment as the mode. Press “enter”.



  • The next box is for Invoice number. Type the Invoice number of your bill in this box. Press “enter”.




  • Then press “down arrow” and select the Supplier’s name from the list. Press “enter”.



  • You will now be automatically taken to the box below. Press “down arrow” and select the Category of the item purchased eg. oral for tablets/capsules, liquid for syrup/suspension, topical for cream/gel/ointment, msurg for surgical items, etc. Press “enter”.




  • Type the initial of the item required and select the item. Press “enter”.





  • Now type the Batch number of the item. Press “enter”.




  • Edit the Expiry date accordingly. (Note: Expiry date is in the format mm/dd/yyyy). Press “enter” twice.




  • Now type the Total cost of the items you have to purchase. Press “enter” twice.




  • Write profit percentage as per the product (if any).




  • Type Total quantity of the items you have to purchase. Press enter till you see the item details in the empty box below.




  • In case of any Discount or Vat/Tax , write it in the lowermost column and then Press Ctrl+S after you have entered all the items from the list. You will be given Purchase number below as Reference number. And the name will be like PUR-1.




  • You can select the Print option if print is required. If print is not required, you can press ESC. Button. The print will look like this :





[NOTE : You can select the items either generic wise or brand wise. The option is given in the top right corner.]


RETURNING STOCK :


  • Once you log into the software, go to the Inventory menu.

  • Select Stock return from the menu.











  • Select the Reason for the return of the stock. eg. Expiry, Near expiry, Quantity Error or any Other reasons if any. Press “enter”



  • Select the Category of the item

















  • Type the initial of the Item’s name and press down arrow. Select the item. Press “enter”.

  • Press down arrow and select the batch number given. If Items are purchased with only one batch number, one number will be shown, If Items are purchased with more batch numbers, it will be shown accordingly. Select desired one. Press “enter”.

  • Then in the box nearby will be shown expiry date of the item of that particular batch number and beside it in another box will be shown the number of items present in the stock currently.




  • Type the quantity of the item that is supposed to be returned. Press “enter”.






  • Select the supplier’s name and press “enter” twice.




  • The item will now be shown in the box below. Once you have entered all the items that has to be returned, press CTRL+S or go to File and select SAVE icon.




  • The box will now appear blank that means You have successfully returned the stock.



TRANSFERRING STOCK :

  • Once you log into the software, go to the Inventory menu. Select Stock transfer from the menu.










  • A new page will be opened like this.




  • Press down arrow. Select comp ID from the list. Press “enter”. (Note: Every computer has a different computer ID as per the department.)




  • Press down arrow. Select the category of the item that has to be transferred. Press “enter”.




  • Type the initial of the item’s name and Select the item from the list. Press “enter”.




  • Press down arrow and select the batch number of the item. If two batch numbers are shown it means that the item has been purchased twice with different batch numbers. Select the desired one.




  • You will now be shown the expiry date of that item in one box and number of items in your stock currently in the other box.




  • Type the quantity of the item that you are supposed to transfer. Press “enter”.








  • The item will now be shown in the box below. Once you have entered all the items that has to be transferred, Click on the SAVE option below with mouse.





  • Press Ctrl+B for making the page blank.

CONSUMING STOCK :


  • Once you log into the software, go to the Inventory menu. Select Stock Consume from the menu.









  • A new page will be opened.








  • Press down arrow. Select the Target ie: to where have you sent the items.



  • If you are sending your stock to the next hospital or so and the name is not in the list, you can press the “+” sign and type the name of that hospital and press “enter” or click on “add” with mouse. Press “enter” twice.




  • Select the Category of the item that has to be consumed. Press “enter”.



  • Type the initial of the item’s name and select the Item . Press “enter”.









  • Press down arrow and select the batch number of the item. If two batch numbers are shown it means that the item has been purchased twice with different batch numbers. Select the desired one.



  • You will now be shown the expiry date of that item in one box and number of items in your stock currently in the other box.








  • Type the quantity of the item that you are supposed to consume. Press “enter”.



  • The item will now be shown in the box below. Once you have entered all the items that has to be transferred, Click on the SAVE option below with mouse.



  • Press Ctrl+B to clear the page.



VIEWING CURRENT STOCK REPORT :


  • Once you log into the software, go to the Reports menu. Select Inventory DB from the menu.










  • A new box will appear. To check current stock of the particular item, select the Category whether it is medicine item or surgical item or extra items. Then choose whether you want to search in generic or brand mode.




  • Type the item’s name and press enter.



  • You will now be shown the name of the item and the current total quantity. If you Click on the item shown, you will be shown the batch numbers and expiry date, quantity present in that batch number and the selling price.



  • To get complete inventory report in pdf, you can click on the Inventory option and select in the print option to get a print, and third option to see the report in pdf.












VIEWING REPORT OF STOCK TRANSFER:

  • Once you log into the software, go to the Reports menu.

  • Select Stock transfer from the menu.











  • Press down arrow and choose the category of the item ; whether it is extra items or medicines or surgical items. % refers to all items regardless of any category.

  • Click on Load data.




  • Select the required date. The date is in the format dd/mm/yyyy. You have to enter both the dates( from and to ).



  • Choose the computer ID from where the stock was transferred in the FROM box.

  • Choose the computer ID to where the stock was transferred in the TO box.





  • Choose whether you want to see selected items or all items. If you select in all items and click on Refresh, the items will be shown in the right sided box with details.



  • Similarly, if you click on Selected Items, and select the required items and click on refresh button.

  • You will now see the list in the other side.





  • To get print of the report, Click on Export button below beside the refresh button.



  • Click on the print option to get a print. Click on PDF option to see in Pdf.
